Hi Team,

I was wondering if it might be easier for participants if we used a single form to collect all the required information, rather than sending multiple emails from different people.

We could maybe have all of these questions on travel/hotel/food together:


  1.
When are you planning to arrive in Amsterdam? (25th/26th/27th)
  2.
For how many days will you need accommodation? (25th/26th/27th)
  3.
Do you have any dietary restrictions?
  4.
Do you consent to being photographed during the event?

What do you think? Feel free to tweak the wording etc

Thanks for the recap.

Yes, it also seems to me like Marjolein is missing from Day 2; should her name be together with Mirca and Rocco in the first Panel?

Also, seems like a good moment for a recap of the next steps regarding the kick-off event (also at the top of the shared notepad) :)

KICK-OFF Next steps

- PROGRAM: JONAS & STEFI: Co-create program with speakers (Day 1 and Day 2); emails to the people on for Day 2 and ask what they would like to talk about with a tentative program/title of the panel, context on the project, and theme to discuss; Define themes/panels, titles, refine program

- VENUES: MEG, GIULIA, CARINA, FEDERICO, meeting with FF (09/2, 12:30) and VoxPop (09/02, 14:00)

- TRAVEL: STEFI (?) emails about time requirements, finish the excel, contacted the hotel JONAS send form about dietary restrictions

- CATERING: - STEFI: ask Terrelente if they are available (Carina has already talked to them and they already know about us) - CARINA/MATTEO: IAS catering get in contact, finalize the number of people for IAS catering; ask to the Surveillance Workshopt people

- INVITATION: prepare a visual program (even with minimal info, a skeleton of the program), put on the website, share the email (February 2nd??)

- LOGO & VISUAL ID: will be ready by the end of the month, we evaluate which one we like

- WEBSITE: blogposts, program of kick-off event, contact, subscription to the newsletter; (final website will not be ready before the kickoff), add the logo; EVERYONE send bios, Linkedin

- DOCUMENTATION: Federico, Giulia, Mariette (Day1), in the form add a consent box for videos and images; STEFI reach out to students for a volunteer.

I also want to make sure the keynote interventions and panel speakers look ok… For instance, are we missing Marjolein from the speaker list?
