Framer Framed is confirmed for the 27th! Thank you Federico and Giulia for helping:)

I can set up a meeting with Lydia to confirm final costs. @Stefania Milan<mailto:S.Milan at uva.nl>could you tell me what the (ultimate) maximum budget is? They seem to charge by the hour regarding audiovisual assistance but I don't know if we need them for the entire day. FYI, the minimum seems to be 3 hours x 50 euros. So the total would be a minimum of 750 euros (flat fee) and 150 euros (assistance) = 900 euros.

Happy New Year to you as well! No worries about the late response, I understand it is a very busy period.

Regarding the dates, I had already tentatively, booked them in our calendar so no worries for the delay.
27th of March from 09:30 to 17:00 works perfectly for us. The flat rental fee for a whole day symposium is as I mentioned in my previous email 750€ excl. VAT.
The fee for the audio-visual technician is 50€ per hour with a minimum of 3 hours. For an 8 hour shift that would be 400€ excl. VAT.

Regarding the costs, mentioning in my previous email, we offer in-kind the audiovisual equipement 75” TV Screen, speakers and 3 handheld wireless microphones for the speakers, central audio system, communication and PR of the event through our website, newsletter and social media accounts. Regarding the drinks, we offer for free water, tea and coffee for the participants. We do have a bar that we can set up where people can purchase extra beverages if they would like during the event, but since it is a day event maybe this is not necessary. If you would like to offer a free drink to the participants, the easiest way if for us to purchase and offer the drinks and then invoice you. Please let me know, if this is something you would like.
Regarding the assistance, since it would be a whole day event collaborators usually offer a payment for the Framer Framed team person for floormnanagement (50€ per hour) but this also depends on the collaborators capability and the budget they have available to allocate for the event.

Some extra questions from my part below for more production details:
Could you please let me know how many speakers will be participating on the day and if all the speakers would be present or if you will be in need of a zoom connection?
Could you please let me know how many people you would expect for the day?

Unfortunately, since I am not working of Mondays I saw your email quite late to schedule a meeting… Nonetheless, please let me know if one of the following days work for you for a meeting to discuss details.

Additionally, please let me know if you have any questions on the above or are in need of clarifications.

Happy new year! Apologies for the late response — a lot of our activities were put on hold due to it being the holidays and it took a while for me to gather enough information to respond to you.

I completely agree regarding the thematic alliance. This is one of the reasons why we wanted to partner with your team at Framer Framed!

We are currently thinking of holding a full day event on the 27th, from 10:00 till 16:00 (9:30 door opens and an extra hour at the end for clean up, if necessary).
I know it took a while for us to get back to you, but do you still have an opening in your calendar?

Regarding the technician’s fee, could you please let us know how much this would cost? Also, does this cost cover what you mentioned in your previous email (i.e., equipment, assistance, free drinks, and communication, etc)?

A meeting to discuss the details may be a good option.
I’m currently based in Japan until the end of the month but I am open to meet online. I am free, for instance, next Tuesday (Jan 20th)  AM and early afternoon.

My name is Lydia Markaki and I am coordinator of the public programme at Framer Framed.
I am contacting you regarding your proposal to host the launch of your research project DATAGOV at Framer Framed.

First of all, I would like to thank you for considering Framer Framed as a potential space for the launch of your research project. The thematic you are looking into is extremely interesting and very closely aligned with thematics that Framer Framed has inquired into in the past - such as the Really?<https://framerframed.nl/en/exposities/expositie-really-art-and-knowledge-in-time-of-crisis/> exhibition - and still looking into. I believe it would be a very fitting programme.

Regarding the dates, the 26th and 27th of March are available in our calendar for hosting the event, with a preference on the 27th.
Our flat rental fee for the main space for up to 50 ppl for 2 - 4 hours is 400€ excl. VAT. For a whole day (4-8 hours) is 750€ excl. VAT.
In addition, since we do not have an in-house audiovisual technician, I would like to kindly ask you whether there is a budget allocated to cover up the technician’s fee.
Framer Framed is offering in-kind the use of the audiovisual equipment, three people from our team to assist on the day with setting up, welcoming people, tending the bar, facilitating etc, free water, coffee and tea for te participants and PR an communication.

We can also set up a meeting to discuss details and explore possibilities.
