Circling back to the hard disk and data management requests from IT, I forward you their last email and I attach my proposed response. I have prepared a Data Management Plan only relative to audio-visual documentary data, so not about research data per se.

Basically, since they highlight that having only one archive exposes us to the risk of data loss and corruption, I propose that we get two 8TB hard disks, one for archiving and one for the backup of the archive. But, especially Stefi, let me know what you think of this DMP and of the idea of asking for two tower hard disks.

Hi Giulia,

To circle back to our meeting last Tuesday, here is the advice.

You indicated that the hardware setup will be used to edit and process audiovisual material about the project that will be posted online. These videos are for documenting purposes and relate to the project but will not contain research data. Consequently, no research data will be stored or processed on the 8 TB desktop or on the portable SSD.

To mitigate the risk of unavailability of the final audiovisual files, please consider the following measures:

  *   Create at least one additional backup of the final files and store it on SharePoint for redundancy.
  *   Consider using the UvA video platform Kaltura (Kaltura videoplatform - Universiteit van Amsterdam<https://www.uva.nl/content/a-z/kaltura-videoplatform/kaltura-videoplatform.html>).

We would like to reiterate that the research data must only be stored on Research Drive, not on unencrypted hardware.

A more in‑depth risk analysis is not necessary at this point. For now I give a positive advice. If the context changes or if you have any other questions, please reach out via the FISO e-mail so that we can properly assess which further steps may be needed.

I think it will do for now. Silvain Smit will also attend the meeting, he is an information security officer and ICT research coordinator.

The concerns depend on the possible risks of project. So ror tomorrow, it would be helpful to have some context about the project and its setup so we can provide the best possible advice and assess the risks together with you. If you have any documentation (for example, a Data Management Plan) that could help us prepare some targeted questions in advance, I would really appreciate it.

I have a call tomorrow at 9.30, but I think half an hour will be enough, what do you think?

Just to anticipate your possible concerns, we are going to use this hard disk to archive audio-visual material of the project, team and processes, so it is not for storing research data.

If you can also explain better what your concerns are, we can go through them more quickly tomorrow morning.

Hi Liza,

In aanvraag RITM0046946 wordt er om extra data gevraagd voor bij het “data Gov project”. Deze data wil je verkrijgen in de vorm van een 8 TB Desktop.
Ik kan deze Desktop niet zomaar bestellen, omdat hier mogelijke veiligheidsrisico’s aan vast zitten. Om deze reden vraag ik jou dit te bespreken met een Facultaire Information Security Officer (FISO). Ik heb even opgezocht wie dit is voor de afdeling FGw en dat zou Ezra Rojer moeten zijn.

Wanneer er goedkeuring is gegeven door Ezra kan ik de bestelling uitvoeren.

Mocht je nog vragen hebben, dan horen we dat graag!
